HOLISTIC ANONYMITY AND SECURITY PROTOCOL

Being able to safely secure information from companies and their employees is a central part of the Holistic value proposition. Our efforts are designed to gather this data safely, securely, and in a transparent fashion. As a result, we eliminate any chance that data will be distributed, shared, or used for any purpose other than Holistic’s work, and ensures individual employee anonymity throughout the entirety of the process.

ANONYMIZATION PROTOCOL FOR YOUR DATA

  1. We ask our clients to remove names from payroll documentation and other materials provided and to replace them with an employee number of their choosing.

  2. Our clients transmit us a separate file with employee names and the corresponding numbers.

  3. Each employee is then assigned a separate employee number in the Holistic system.

  4. The source file -- where the names and the employee numbers connect -- is housed offline in two places -- on a desktop computer and on a flash drive which is stored separately. (This is so we have it if necessary, but it is not available in the cloud).

  5. Our employee portal and survey tools are cloud-based external software technologies, and the results of those efforts stay in private accounts on those cloud-based systems. When the data is transferred to our system, employee names are replaced with numbers. So, when information is entered into the system, it is completely anonymized.

  6. The individual employee information remains anonymized throughout the process.


ANONYMIZATION PROTOCOL FOR YOUR EMPLOYEES

  • All employees and contractors of Holistic sign a non-disclosure agreement that prohibits them from downloading any information, sharing it, or using it for any purposes other than the express business purposes of Holistic.

  • Any employee or contractor of Holistic found to be in violation of these policies is subject to immediate termination and Client will be given notice of such violations in regards to the Client Data.

  • The only members of our team who will have access to the underlying data that identifies the company are the leadership of Holistic and the group of employees who are working on the specific project.

  • Every client will know the names and information behind the employees working on their project.

  • Only the CEO of Holistic will have access to the files that identify individual employees by name. Under no circumstances will Holistic disclose any information relating to the identity of individuals employed by Client or any information relating thereto.
